Summary: The Secretary of the GirlCode Advisory Board plays a crucial role in ensuring the smooth and efficient operation of the Board. This volunteer position is responsible for maintaining accurate records, facilitating communication, and supporting the Board's administrative functions. Key Responsibilities: Meeting Administration: Prepare and distribute notices of board meetings, including agendas and supporting documents, in collaboration with the Board Chair. Attend all board meetings and accurately record meeting minutes, capturing key discussions, decisions, and action items. Ensure that minutes are promptly distributed to board members for review and approval. Maintain a record of board member attendance. Assist the Chair in developing meeting agendas. Record Keeping and Documentation: Maintain and organize all official board documents, including meeting minutes, resolutions, and other important records. Ensure that all records are stored securely and are accessible to board members as needed. Oversee the maintenance of board member contact information and other relevant data. Communication and Correspondence: Manage board correspondence, including receiving, distributing, and responding to emails and other communications, as directed by the Chair. Facilitate communication between board members, the GirlCode executive team, and other stakeholders, as needed. Governance Support: Assist the Board Chair in ensuring that the board adheres to established governance policies and procedures. Support the board in maintaining compliance with any legal or regulatory requirements. Assist with the preparation of reports and other documents, as required. Other Duties: Perform other administrative duties as assigned by the Board Chair. Time Commitment: Approximately 5-10 hours per quarter, including attendance at board meetings (Quartely). Additional time may be required for specific tasks or projects. Qualifications and Skills: Strong organizational and time-management skills. Excellent written and verbal communication skills. Meticulous attention to detail and accuracy. Ability to maintain confidentiality and handle sensitive information with discretion. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software. Ability to work effectively with a team of volunteers. A commitment to the mission and goals of GirlCode. Experience in a similar administrative or secretarial role is preferred.
